Custom software

Custom CRM development for small companies: Your CRM should not stop when the deal is won.

Custom CRM development means building a system around how your company sells, delivers and gets paid, rather than bending your process to fit a subscription tool. It pays off when an off-the-shelf CRM only covers the sales side and the rest of the work still lives in spreadsheets and email.

  • We use our own system every day
  • Launched in stages, not after a year
  • The data and access stay yours

Your spreadsheet will not remind you to call back.

02What you get

What a custom CRM can cover.

  • A morning overview

Today’s tasks, overdue items and who to start with are on one screen when you sit down.

  • A pipeline that keeps deals moving

Each deal has a value, a next step with a date and a source, and one with no next step turns red.

  • One timeline per client

Calls, emails, notes, hours and money sit together, so a client who returns after six months is not a search project.

  • Jobs with their own codes

Each job gets a code like WEB-2026-014 along with its status, deadline, price and amount paid.

  • Invoices matched to payments

Invoices, deposits and payments land on the right client and job without anyone pairing them by hand.

  • Reports for any period

Win rate, days to payment and your real hourly rate are there whenever you ask, with CSV export.

03Build or buy

Custom CRM or off the shelf?

Best atYour whole process, from first contact through delivery to the paid invoice.Sales: contacts, pipeline, follow-ups and email.
Fit with how you workStages, fields and rules follow your process. You configure what the tool allows and adapt to the rest.
Getting startedYou approve screen designs first, and the quote gives the date for the first part.Sign up and start today, if the defaults suit you.
Cost shapeHigher up front for design and development, with third-party services such as a server listed separately.Low to start, then a subscription that usually grows with each user.
If you stop payingThe data and access are yours, and once paid you use the system with no time limit. You can usually export your data, but the tool stops when the subscription does.
Keeping it runningYou need to budget for maintenance, because software nobody looks after ages. The vendor handles updates, including the changes you did not ask for.

This is a general comparison. If you have never used a CRM, start with a ready-made one: knowing exactly where it falls short makes the best brief for a custom build.

04An honest answer

When a custom CRM is a waste of money.

Build when

  • You pay for a CRM and still keep three spreadsheets next to it because it cannot do something you need.
  • The sale is only the start: what follows is a job, hours on site, an invoice and chasing payment.
  • You copy the same data between tools by hand, and the mistakes are starting to cost you.
  • When a colleague is away, nobody can say where their deals stand.

Buy when

  • You run a straightforward sales process and a pipeline with reminders covers it.
  • Your process still changes every few months. Settle it in a ready-made tool first.
  • You are missing one small feature. A connection through an automation tool such as Make or Zapier may solve it.
  • You need it running next week. A custom system is built in stages and the date depends on the scope.
05Our own system

We rely on one every single day.

The proof we can show you is our own. We built an internal system that follows a client from the first contact through the offer, the job and the invoice to a view of what the business actually earns. We use it every day at Wetrixo, so we know it works in ordinary work, not just on paper.

It deals with a familiar mess: files in Downloads, documents in email, the invoice somewhere else and the job status in someone’s head. With it, every morning it is clear who to call. Each client shows what they have paid and what they owe, and old documents turn up first time by job code, even when someone else is looking.

It also has an AI card for new clients, with a reason to reach out now and a drafted email. Your system does not need that: we choose features based on your work, and you can start with a smaller first version.

06Before the first call

What makes for a useful first conversation.

  • One real deal, start to finish

Walk us through a recent customer from first contact to paid invoice. It tells us more than a feature list.

  • The spreadsheets you use today

Samples show the data you actually keep, including the columns nobody remembers adding.

  • The tools that must connect

Your website, email, invoicing or Google Workspace.

07Process

How a custom CRM gets built.

  1. 01

    Map the process

We go through how you work today, where time is lost and what the system has to handle.

  2. 02

    Screens and a written quote

Before work starts, you know what you get, what it costs and when the first part is ready.

  3. 03

    Build in stages

You see working parts as we go, and your comments go in straight away rather than at the end.

  4. 04

Move the data and go live

We move your spreadsheets or the export from your current tool, then show your people how to use the system.

08FAQ

Questions before you start.

How much does custom CRM development cost?

It depends on the number of screens, user roles and connections, and on how much data needs moving. You can start with a smaller first version. Written quote within 24 hours of a short call.

Can you move our data from Excel or our current CRM?

Yes. We clean up and move data from spreadsheets or an export of your current tool, so you do not start with an empty system. The quote states exactly what comes across.

Will it connect to our invoicing and email?

Yes, if the tool you use has an API. We check your specific tools and confirm it in the quote. You then enter data once and it travels on its own.

Who owns the system and the code?

The data and access are yours, and once paid you use the system with no time limit. The quote states how the source code is handed over.

What happens if something breaks after launch?

We fix functional bugs free of charge for 30 days after handover. After that, we maintain and extend the system under the care plan we agree on.

Can we hold our calls in English?

Yes. We hold calls in English or Slovak, online over Google Meet, and we meet in person only in Bratislava.
